President

The role of the President is to provide the primary source of club correspondence. 

Specific duties include but not limited to:

  • Act as a chairperson at all meetings.
  • Chair Committee meetings ensuring that they are run efficiently and effectively.
  • Act as a signatory for the Club in all legal and financial purposes.
  • Serve as spokesperson for the Club at Club meetings, tribunal hearings and any other event that
  • may arise.
  • Oversee the activities of the Club and committee to strive to achieve the Clubs objectives, goals and
  • relevant business plans.
  • Assist in the development of partnership with sponsors, local government and other organisations.
  • Control and coordinate activities of the club.
  • Convene regular meetings of the committee.
  • Ensure that all members perform their duties in a manner consistent with the objectives of the club.
  • The President shall vote as a Club member in all ballots and shall also have a casting vote in the event of a tie.
  • Deal impartially with any concerns of club members.
  • Attend committee, Rec Club, S.B.A, coaches and club meetings as scheduled.
  • Prepare the A.G.M report and present this to the Club and also to the Rec Club.
  • Actively participate and host the end of year celebration.
  • Planning future directions.
  • Develop policies and procedures.

Treasurer

The role of the Treasurer is to provide the primary source of club correspondence. 

Specific duties include but not limited to:

  • Provide advice to the Committee in their management of the club finances.
  • Administer all financial affairs of the Club.
  • Take the lead role in the annual budget process and ensure an appropriate annual budget is provided to the Committee for approval.
  • Support and financial auditing processes.
  • Receipt of all incoming monies.
  • Bank monies received.
  • Pay all accounts.
  • Safeguard online banking information. (ie login and password).
  • Promptly pay all invoices received e.g.: Training venues and Uniform and trophy supplier
  • Ensure all bank deposits and withdrawals are reconciled to bank statements.
  • Provide a monthly financial report and present at monthly committee meetings.
  • Arrange and despatch invoices.
  • Keep accurate record of all membership payments.
  • Be a signatory on the club account.
  • Ensure that the records of the club are maintained and made available when required.
  • Assist in the development of a list of financial / Non-financial players.
  • Liaise with Registrar and assist where necessary.
  • Present a profit and loss sheet at each A.G.M.
  • Deal impartially with any concerns of the Club.

Secretary

The role of the Secretary is to provide the primary source of club correspondence. 

Specific duties include but not limited to:

  • Attend all meetings as far as possible.
  • Maintain Court Hire Schedule.
  • Manage Minutes of Committee meetings and ensure distribution.
  • Develop the Agenda in consultation with other committee members and distribute prior to the meeting.
  • Is responsible for ensuring that accurate and sufficient documentation exists to meet and Club or legal requirements.
  • Maintain Working With Children Check database for all committee Members and Coaches /Team Managers.
  • Approve all Club Clearances.

Junior Delegate

  • Attend Junior Delegate Committee meetings as Saints representative.
  • Promote the interests and queries of the Club to the JDC for discussion and resolution.
  • Disseminate information as required.
  • Help setup Trophies on Grand Finals days.
  • Use and maintain the Saints JDC email address.
  • Point of contact for By Laws enquiries.
  • Point of contact for game day issues: scoresheet details, fill in players, score discrepancies etc. Assisted by Team Manager Co-Ordinator.
  • Work with Team Manager Co-Ordinator to arrange Teams at the start of each Season.  Submit Teams to the SBA by the required date.

Senior Delegate

  • Attend Senior Delegate Committee meetings as Saints representative.
    ● Promote the interests and queries of the Club to the SDC for discussion and resolution.
    ● Disseminate information as required.
    ● Help setup Trophies on Grand Finals days.
    ● Use and maintain the Saints Senior Delegate email address.
    ● Point of contact for By Laws enquiries.
    ● Point of contact for game day issues: scoresheet details, fill in players, score
    discrepancies etc.
    ● Liaise with Team managers to ensure Teams are correct and submitted correctly to
    the SBA prior to the start of each season.
    ● Assist Treasurer to collect Registration fees before Round 3 each Season.

Uniform Manager

The role of the Uniform and Apparel Coordinator is to provide the primary source of club correspondence. 

Specific duties include but not limited to:

  • Order uniform as needed for the Club from the nominated supplier.
  • Track delivery of the order and follow up if necessary.
  • To organise with the Clubs Treasurer for payment to the supplier.
  • To assist with number allocations during new player registration and identify players who have had
  • singlet number change.
  • Contact and make suitable pick up arrangements prior to new season for families.
  • To ensure that there is enough stock available in all sizes for replacement and new uniform requests.
  • Receive payment for the uniform and issue receipts for all uniform / apparel sold.
  • Conduct stocktake of all items.
  • Liaise with the committee on products sold and if additional apparel is required.
  • Assist in the Coordination and supply of coaches polo tops and sponsored apparel.
  • Make sample uniform available to try on for size when required.
  • Ensure that alternative are available, collected and washed for next use

Flight Path Co-Ordinator

  • Point of contact for Fight Path Enquiries.
  • Organise Coaches, and oversee training sessions. Help Coaches with planning for training and Games.
  • Liaise with Parents during the Season and communicate updates and information as required.

Coach / Team Manager Co-Ordinator

  • Point of contact for Team Managers / Coaches.
    ● Organise Team Manager & Coaches meeting at the start of each season.
    ● Provide templates of team contact list and scoring roster to TMs.
    ● Maintain database of Team Managers and Coaches details.
    ● Communicate updates to Team Managers / Coaches as required.
    ● Point of contact for game day issues: scoresheet details, fill in players, score
    discrepancies etc. Assisted by Junior Delegate.
    ● Resolution of game day issues by passing issues to relevant person or organisation
    and following up outcome with interested parties. Assisted by President.
    ● Organise Boardman duty roster.
